TERMS OF REFERENCE FOR MEDIA SERVICES

(PHOTOGRAPHY & VIDEO COVERAGE)

Reports to :        National Coordinator

Duty Station  :    Arua, Hoima, Jinja, and Kampala

Assignment:      Temporary

Duration  :         1 week  (11th to 17th January 2026)

  1. Background

The Women’s International Peace Centre (WIPC), on behalf of the Women’s Situation Room (WSR), hereby seeks to recruit a Company to provide photography and video coverage services for 1 week of 11th to 17th 2026.

The WSR is a non‑partisan, women‑led mechanism that mobilizes women and youth to promote peaceful electoral processes in line with United Nations Security Council Resolutions 1325 and 2250. Similar to other African countries, WSR-Uganda provides early warning and rapid response to election‑related tensions and violence, working closely with election stakeholders to promote peace before, during and after elections.

2. Job Purpose:

The WSR requires the services of a vendor to offer professional services for photography/ videography to visually document key organizational activities, events, and personnel for promotional, reporting, and archival purposes. The assignment will focus primarily on capturing the 2026 Women’s Situation Room activities, as detailed in the scope below.

3. Scope /Roles and responsibilities

The selected vendor for photography/ videography will be required to execute the following tasks during the 2026 physical situation rooms (11th -20th January 2026), but the contract may cover other assignments upon request. 

  • Capture high-quality, professional images and video clips that reflect the mission, values, and impact of the organization.
  • Document key stakeholders, interactions, and atmosphere of the Women’s Physical Situation Rooms.
  • Create an image library suitable for use across various media platforms, including annual reports, website, social media, and donor communications.
  • Ensure all images are technically excellent (lighting, composition, sharpness) and delivered according to specified formats and deadlines.

4. Deliverables

The photographer must provide the following as part of the vendor assignment

Raw/Unedited Shots Full resolution, original files (e.g., JPEG or RAW). All captured images.
High-Resolution Edited Images Color-corrected, cropped, and professionally edited images. 300 DPI, suitable for print and high-quality web use. To be determined
Web-Optimized Images Lower resolution versions of the edited images. 72 DPI, optimized for fast loading on websites and social media. To be determined
Delivery Method Secure online gallery or external storage device (USB).
Photobook Design and develop a photobook of the WSR events To be determinied

 5. Service Provider Requirements

The successful vendor must demonstrate:

  • Proven experience (minimum 7 years) in event, corporate, or documentary photography.
  • Reliable professional-grade equipment, including backup gear, lighting, and necessary lenses.
  • A portfolio demonstrating proficiency in capturing candid interactions and professional portraiture.
  • Full company registration
